Privacy Policy

How we protect your information and respect your privacy

Last Updated: October 20, 2025

Introduction

Look, we get it - privacy policies can be a total snooze-fest. But here's the thing: your trust matters to us, and we're not about to mess that up. At Legend Haven Architecture, we've been designing buildings in Toronto since way back, and we treat your personal info with the same care we'd give to a heritage restoration project.

This policy breaks down what info we collect, why we need it, and what we do with it. We're based in Canada, so we follow all the Canadian privacy laws - PIPEDA and the whole deal. No fancy legal jargon here, just straight talk about how we handle your data.

What Information We Collect

Data collection
Personal Details You Share

When you reach out to us or fill out a contact form, we'll grab some basic stuff like your name, email, phone number, and whatever project details you want to share. If you're hiring us for a project, we'll need more - like your address, business info if it's a commercial gig, and budget details.

Technical Stuff

Our website collects some behind-the-scenes data - your IP address, browser type, what pages you clicked on, and how long you hung around. It's pretty standard stuff that helps us figure out what's working and what's not. We use analytics tools to see which portfolio projects get the most eyeballs and whether folks are actually reading about our sustainable design approach.

Project Files & Communications

If you become a client, we'll keep all our email chains, meeting notes, design files, and any photos or documents you send our way. This is basically our project archive - we need it to deliver good work and to reference if questions pop up down the road.

How We Actually Use Your Info

Project Delivery

This one's pretty obvious - we use your info to actually do the work you're hiring us for. Design your space, get permits, coordinate with contractors, and keep you in the loop throughout the whole process.

Communication

We'll use your contact details to respond to inquiries, send project updates, and occasionally share relevant news about our work. Don't worry - we're not gonna spam you with daily emails or anything annoying like that.

Website Improvement

The analytics data helps us make the site better. If everyone's bouncing off a certain page, we know something's not working. If folks love browsing our heritage restoration projects, we know what content to create more of.

Legal Compliance

Sometimes we gotta keep records for legal reasons - building codes, professional regulations, tax stuff. It's not exciting, but it's necessary in the architecture world.

Who We Share Information With

Here's the deal: We don't sell your personal info to anyone. Period. That's not how we roll.

But we do share info with:

  • Project Partners: Engineers, contractors, consultants - basically anyone who needs to be involved to make your project happen. They only get what's relevant to their part of the job.
  • Service Providers: Our website hosting company, email service, cloud storage - the tech folks who keep things running behind the scenes. They're all under strict confidentiality agreements.
  • Legal Requirements: If the law says we have to hand over info (like for a court order or regulatory investigation), we will. But we're not just giving it away willy-nilly.
  • Professional Bodies: We might share project info with architectural associations or for awards submissions - but we'll always check with you first if it's gonna include any personal details.

Cookies & Tracking Technologies

Yeah, we use cookies - not the chocolate chip kind, unfortunately. These are little data files that help the website remember you and work properly. Here's what we're using:

Essential Cookies: These keep the site functioning. Can't really turn these off without breaking things.

Analytics Cookies: Help us understand visitor behavior. We use Google Analytics to see what's popular and what's flopping.

Preference Cookies: Remember your settings so you don't have to keep adjusting stuff every time you visit.

You can manage cookie preferences through your browser settings. Just know that blocking certain cookies might make the site a bit wonky.

Your Privacy Rights

Under Canadian privacy laws, you've got some solid rights when it comes to your personal info:

Access

Ask us what personal info we've got on you. We'll show you what's in our files.

Correction

If something's wrong or outdated, let us know and we'll fix it up.

Deletion

Want us to delete your info? We can do that, unless we're legally required to keep it.

Opt-Out

Don't want marketing emails? Just unsubscribe - there's a link at the bottom of every message.

To exercise any of these rights, shoot us an email at info@legendhaven.info or call (416) 555-0142. We'll get back to you within 30 days.

How We Protect Your Data

We take security pretty seriously - probably because we're used to making sure buildings don't fall down. Here's what we do to keep your info safe:

Encryption

All data transmission is encrypted with SSL/TLS protocols. Your info is scrambled during transfer.

Access Control

Only team members who actually need access to your info get it. Everyone signs confidentiality agreements.

Secure Storage

We use reputable Canadian hosting providers with proper security certifications and regular backups.

That said, no system is 100% bulletproof. We do our best, but if somehow there's a data breach, we'll let you know ASAP and tell you what happened and what we're doing about it.

How Long We Keep Your Information

We don't hoard data forever. Here's our general approach:

  • Inquiry Forms: If you reach out but don't become a client, we'll keep your info for about a year in case you change your mind, then it's gone.
  • Client Project Files: We keep these for at least 10 years after project completion. It's partly because of professional liability rules, and partly because sometimes folks come back years later with questions.
  • Financial Records: Tax law requires us to keep these for 7 years. Not our choice, it's just how it works.
  • Marketing Lists: As long as you're subscribed. Unsubscribe anytime and you're off the list within a few days.

Children's Privacy

Our services aren't aimed at kids under 16, and we don't knowingly collect info from them. If you're a parent and think your kid somehow gave us their info, let us know and we'll delete it right away.

Changes to This Policy

We might update this policy from time to time - like if laws change or we start using new technology. When we do, we'll update the date at the top and post the new version here. For major changes, we'll send an email to folks on our contact list. It's worth checking back occasionally to see if anything's changed.

Your Privacy Matters

We've been designing buildings in Toronto for years, and we've built our reputation on trust and quality work. Your privacy is part of that commitment.

If something in this policy doesn't sit right with you, or if you've got concerns about how we're handling your information, let's talk. We'd rather sort things out directly than have you worrying about it.

Still Have Questions?

Privacy stuff can be confusing, and we get that not everyone wants to read through pages of legal text. If there's anything you're not clear on, seriously just give us a call or send an email. We're happy to explain things in plain English over a coffee if that helps.
